Privacy Policy

RM Stone Design Inc. collects as little personal information as it can and uses it only to answer your enquiry and carry out work you ask us to do.

Effective date: 30 September 2026.

1. Who this policy covers

This policy explains how RM Stone Design Inc. (“we”, “us”) handles personal information collected through this website, rmstonedesign.ca, and through the phone calls, emails and site visits that follow an enquiry. It applies to prospective and existing clients. It does not cover websites we link to, which have their own policies.

Personal information is any information about an identifiable individual. In Canada, its handling by a business is governed by the Personal Information Protection and Electronic Documents Act (PIPEDA). This policy is organised around the ten principles that Act sets out.

2. Accountability

We are responsible for personal information in our control, including information handled for us by a service provider. Questions, requests and complaints about privacy are handled by the person we have designated for that purpose, who can be reached at the contact details at the foot of this page. Address correspondence to the attention of the Privacy Officer.

3. What we collect

Through the consultation form

  • Required: your name, a phone number, and a description of the project.
  • Optional: an email address, the city or neighbourhood the property is in, and the service you are interested in.
  • Recorded automatically with the message: the date and time it was sent and the address of the page you sent it from.

After you get in touch

If an enquiry goes further, we may also collect the property address, photographs or drawings you choose to send, notes and measurements from a site visit, and the details needed to prepare a written scope and, if you go ahead, to invoice and keep records of the work.

Technical information

Like every web server, the one hosting this site records standard access logs: IP address, date and time, the page requested, the referring page and the browser’s user-agent string. These logs are kept by our hosting provider for security and troubleshooting. We do not use them to identify visitors.

Please do not send us sensitive information we have not asked for — health details, government identification numbers or payment card numbers. The form is not built to receive them.

4. Why we collect it

We use personal information only to:

  • reply to your enquiry and answer your questions;
  • arrange and attend a site visit and prepare a proposed scope of work;
  • carry out, schedule, invoice and keep records of work you engage us to do;
  • meet our legal, tax, accounting and insurance obligations; and
  • protect this website and our business against fraud, spam and misuse.

We do not use enquiry information for marketing, we do not add you to a mailing list, and we do not sell, rent or trade personal information.

5. Consent

By sending the form, calling us or emailing us, you consent to our using the information you provide for the purposes above. We will ask again before using it for any purpose not listed here.

You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing it may mean we can no longer respond to an enquiry or continue a project, and we will tell you if that is the case.

6. Limiting collection, use and disclosure

We collect only what the purposes above require. We disclose personal information outside the company only:

  • to the service providers that host this website and deliver and store our email, in the ordinary course of operating a business mailbox;
  • to professional advisers such as our accountant, lawyer or insurer, where needed and under a duty of confidentiality;
  • where a project requires it — for example, giving a municipality the property address on a permit application you have asked us to make; or
  • where the law requires or permits it, such as in response to a valid court order.

If the business, or part of it, is ever sold or reorganised, personal information may be transferred to the new owner under the protections that PIPEDA applies to business transactions.

7. Where it is stored

Our hosting and email providers may store or process information on servers outside Ontario or outside Canada, including in the United States. While it is there, it is subject to that jurisdiction’s laws and may be accessible to its courts, law enforcement and national security authorities. Wherever it is held, we remain accountable for it under this policy.

8. Retention

We keep personal information only as long as it serves the purpose it was collected for, or as long as the law requires:

  • Enquiries that do not lead to a project are kept while the conversation is active, then deleted when no longer needed.
  • Records connected to work actually carried out — scopes, contracts, invoices and related correspondence — are kept for as long as tax, accounting and limitation-period requirements make necessary.

Information that is no longer needed is deleted or securely destroyed.

9. Accuracy

We rely on you to give us accurate contact and property details. If something we hold is wrong or out of date, tell us and we will correct it.

10. Safeguards

Every page on this site, including the form, is served only over an encrypted HTTPS connection. Form submissions are sent straight to our mailbox and are not stored in a database on the web server. Deployment settings, including the address submissions are delivered to, are kept outside the publicly accessible part of the server. Access to enquiry information within the company is limited to the people who need it to deal with your project.

No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. If a breach of our safeguards creates a real risk of significant harm to you, we will notify you and report it to the Privacy Commissioner of Canada, as PIPEDA requires, and keep a record of it.

11. Cookies, analytics and third parties

This website sets no cookies, runs no analytics, and carries no advertising or social-media trackers. Every stylesheet, font, script, image and video is served from this domain, and the site’s security policy blocks the browser from loading anything from elsewhere. Visiting a page here therefore does not tell any other company that you visited.

Some links take you off this site — for example to our Google Business Profile listing. Once you follow one, the other site’s own privacy policy and cookies apply.

12. Photographs of completed work

We may photograph or film work we have completed and publish those images on this website. We do not publish a client’s name or street address with them, image descriptions do not name the property’s location, and location data embedded in camera files is stripped before publication. If you recognise your property and would like an image removed, contact us and we will take it down.

13. Electronic messages

When you send us an enquiry, we will reply to it by phone, text or email. We do not send promotional emails or texts. If that ever changes, it will be done with your consent and in line with Canada’s Anti-Spam Legislation (CASL), and every such message will include a simple way to unsubscribe.

14. Your rights: access, correction and complaints

You may ask what personal information we hold about you, how it has been used, and to whom it has been disclosed. You may ask us to correct it or to delete it. Call (416) 841-4164, write to the address below, or use the contact form, and say what you would like done.

We may need to confirm your identity before acting on a request. We will respond within the time limits PIPEDA sets. Where the law allows us to refuse a request — for instance, where records must be kept for tax purposes or would reveal information about someone else — we will explain why.

If you are not satisfied with our answer, you may complain to the Office of the Privacy Commissioner of Canada.

15. Children

This website is intended for adult property owners. It is not directed at children, and we do not knowingly collect personal information from anyone under the age of majority in Ontario.

16. Changes to this policy

We may update this policy. The revised version will be published here with a new effective date. Because we keep no mailing list, we cannot notify you individually, so please check this page if it matters to you.
